About This Role

We are seeking a highly organized, proactive, and adaptable Executive Administrator to provide exceptional support to the President of the Hedera Council and contribute to the smooth and efficient operation of the Council's activities.

The Executive Administrator will play a crucial role in supporting the President and the Hedera Council by managing administrative tasks, coordinating meetings, facilitating communication, and ensuring the efficient flow of information. This individual will possess a strong service mindset, a growth-oriented approach, and a commitment to excellence and the highest standards of professionalism.

As a key liaison across all levels of the organization, you will coordinate schedules, facilitate communication, and ensure that the executive office operates seamlessly in a 100% remote work environment. Additionally, you will manage travel arrangements for executive team members and may be required to travel up to a few times a year for in-person meetings and events.

Responsibilities

  • Executive Support
    • Manage the President’s calendar, schedule appointments, and coordinate travel arrangements for the President and other executive team members
    • Handle confidential information with discretion and professionalism
    • Assist with special projects and initiatives as assigned by the President
    • Prepare, distribute and follow up on meeting agendas, minutes, and action items
    • Act as a point of contact for executive communications and internal and external stakeholders
  • Meeting Support
    • Coordinate and schedule meetings of the executive team, Board, and Council, and other related events
    • Assist with the preparation of meeting agendas, distribute materials, and take detailed meeting minutes
    • Manage meeting logistics, including room reservations, technology setup, and catering
    • Track action items and ensure timely follow-up
    • Facilitate virtual meetings and manage online collaboration tools
  • Administrative Management
    • Maintain accurate records and files
    • Manage and process expense reports
    • Coordinate and manage documents using digital document management systems
    • Assist with budget tracking and reporting
    • Manage and improve administrative processes
  • Communication and Collaboration
    • Facilitate effective communication between the President, Council members, and other stakeholders
    • Prepare and distribute communications, including emails, newsletters, and announcements
    • Collaborate with internal teams and external partners to ensure smooth operations
    • Support the on-boarding process of new council members

Preferred Qualifications

Work Experience

  • Minimum of 5 years of professional experience in an executive setting or similar support role

Education

  • Bachelor’s degree preferred
